Guide for Journal EICs & MEs: 1st Page Formatting

Things to Remember

The templates for your Journal are already present on the computers in your Journal office.

If you must use a laptop, please see these instructions about installing your Journals' template.

You are strongly encouraged to keep your issues from going over 250 pages

What is 1st Page Formatting?

1st Page Formatting is the first time you will send files to Sheridan. At this stage, Sheridan will run macros* on the pieces and attach your Journal's template, so the files will come back looking very similar to how they will appear in your printed Journal.  

Any other styles you might have applied before sending the file should also remain (heading 1, block quote, etc.)

You CAN do substantive edits to a file before sending it to Sheridan for 1st Page Formatting

(*Macros turn bold text into CAP and SMALL CAP, italic into underline, etc.)

Submitting Files for 1st Page Formatting

Pieces can be sent for 1st Page Formatting one at a time, or all together. When you are ready, send .doc or .docx files to Harleen Chopra at Harleen.Chopra@kwglobal.com.

In the subject of the email, please indicate which Journal the files are for.

Once Harleen has formatted the files, she will send them back to your Journal's .format email address (ex: MJRL.format@umich.edu).

Please keep in mind that she has 3 days to complete 1st Page Formatting on each file, even though they generally turn files around more quickly.

Tables, Graphs, etc.

Tables, etc will need to be removed and sent as separate .pdf files when you send the files for Contract Proof preparation, so it is recommended that you get a head start and remove them before 1st Page Formatting.

If you leave a Table, etc. in a file sent in for 1st Page Formatting, Sheridan may remove it when they run macros and attach the template (so to be safe, you should retain a copy of all such items when you send files to Sheridan in case they have to remove them).



IMPORTANT !

Footnotes should NOT be contained within Tables, Charts, Graphs, or Equations because the references will be lost when the files are processed at the Contract Proof stage.

When you send files for Contract Proof preparation each Table, Chart, Graph, Equation, etc. must be sent as a separate .pdf file and you should include 'placeholder text' within the article/note itself to let the staff at Christensen know where to place each file.

It is recommended that when you create the .pdf file for a Table, etc. you have the item sized to exactly how it will appear in print. So if the width of your text block is 4.5 inches, the Table, etc. should not be wider than that so Sheridan doesn't have to resize the image (which could cause text within the Table, etc. to blur).
